Hiring an Interpreter for a Factory or Site Visit in Japan
For a factory tour, supplier visit, plant inspection or office visit in Japan, an English–Japanese interpreter at your side lets you ask questions directly on the floor, understand safety briefings and build a relationship with the people who actually make your product. Send the agenda, technical terms and your questions in advance, keep the group small, and plan for noise and walking. Hanabuddies provides interpreters in person anywhere in Japan, with the client covering travel costs, and online for preparation calls and follow-ups.
What the interpreter does on the day
| Part of the visit | What we interpret |
|---|---|
| Arrival and greetings | Introductions, business cards, the host’s welcome. |
| Safety briefing | Rules, protective equipment, where you can and can’t go. |
| Tour of the floor | Explanations of each process, your questions and the answers. |
| Meeting afterwards | Discussion of findings, quality, volumes, next steps. |
| Dinner, if any | Relationship-building conversation, toasts and thanks. |
What to send in advance
- Agenda and attendees, with names and roles on both sides.
- A glossary of product names, part numbers and technical terms, with any Japanese terms your supplier uses.
- Your questions, especially on quality, capacity and lead times.
- Previous emails or reports, so the interpreter knows the history.
- An NDA, if you need one; we’re happy to sign.

On the floor
- Noise. Interpreting is consecutive, so stop to talk somewhere quieter, or save detailed questions for the meeting room.
- Photos. Many sites don’t allow them. Ask first: 写真を撮ってもよろしいですか?
- Group size. One interpreter works best with a small group that stays together.
- Comfortable shoes, and follow the host’s safety rules exactly.
Before and after the visit
A short online call beforehand helps set expectations with your host, and a follow-up call or email afterwards confirms what was agreed. See interpreting supplier calls, Japanese business email and a thank-you letter after a business visit. If you can’t travel, see interpreting remote factory audits.
How Hanabuddies can help
We provide English–Japanese interpreters for factory tours, supplier visits and office visits anywhere in Japan, in person, with the client covering travel costs, and online for calls before and after. We can also translate agendas, reports and follow-up emails. We interpret consecutively; we don’t provide simultaneous or certified interpreting, and we don’t carry out technical audits ourselves.
