How to Write a Job Application Email in Japanese, with a Template

A Japanese job application email follows a fixed shape: a clear subject line such as 【応募】営業職/ジョン・スミス ([Application] Sales role / John Smith), the company and 採用ご担当者様 (saiyō go-tantōsha-sama, “Dear hiring manager”), a short self-introduction, the role you’re applying for, a line about your attachments, a polite closing and a full signature. Keep it short and formal. The email isn’t where you sell yourself; your rirekisho and shokumu keirekisho do that. Here’s a template you can adapt, plus emails for interview scheduling and thank-yous.

When you need one

  • Applying directly to a company, rather than through a job site or agent.
  • Sending documents a recruiter has asked for.
  • Replying to an interview invitation or rearranging a time.
  • Thanking the interviewer afterwards.

Interview invitations and thank-yous

  • Accepting a time: 面接の日程をご連絡いただき、ありがとうございます。10月20日(火)14時にお伺いいたします。 For online interviews, use 参加いたします instead of お伺いいたします.
  • Asking for another time: 大変恐縮ですが、ご提示いただいた日程の都合がつかず、別の日程でご調整いただくことは可能でしょうか。
  • Mentioning time zones: 現在ロンドン在住のため、日本時間の16時以降ですと参加しやすいです。 (I live in London, so after 4 pm Japan time is easiest.)
  • Thank-you after the interview: 本日はお忙しい中、面接のお時間をいただき、誠にありがとうございました。 Send it the same day, keep it to a few lines, and mention one thing from the conversation.

Common mistakes

  • A vague subject line such as “Job application” that gets lost in a busy inbox.
  • Writing a long cover letter in the body. Keep the email short and let your documents speak.
  • Mixing up 貴社 and 御社. Use 貴社 (kisha) in writing and 御社 (onsha) when speaking.
  • Unclear attachments. Send PDFs with clear file names, such as 履歴書_ジョン・スミス.pdf.
  • Machine-translated Japanese that’s grammatical but sounds stiff or rude. See machine translation for Japanese.
